Donations Clerk – Finance Department
Full time
POSITION SUMMARY
This position provides assistance to the Donor Financial Services group in the processing of donations as well as other general support to Finance department.
RESPONSIBILITIES
The responsibilities for this position include but are not limited to the following:
- Data entry of all donations into Raiser’s Edge (fundraising database) in an accurate and timely manner
- Preparation of daily bank deposits of cash and cheques
- Review and balancing of data entry batch and bank deposit to ensure accurate financial records are being kept
- Responsible for opening mail while ensuring that all financial controls for the handling of cash and cheques are met
- Creates and reviews all official income tax receipts produced by Raiser’s Edge
- Enters all updates to donor information that are received in the mail, phone, etc. (name changes, address changes, returned mail, deceased etc.)
- Completes all correspondence to donors concerning donations returned as NSF, account closed, unsigned cheque letters to donors, etc.
- Assists in the entering of updated monthly donor information
- Assists in the maintenance of the Raiser’s Edge database (ie: reviewing duplicate records)
- Assists with the gift processing for all provincially coordinated special events and year end processing
- Assists with the training of temporary staff on processes and internal systems (Raiser’s Edge, Convio)
- Assists with the supervision of temporary staff to ensure all donations and back deposits are processed in an accurate and timely manner
- Assists in the preparation and cleanup of the import files for Raiser’s Edge
- Assists in the processing of Accounts Payable Invoices and Pre-authorized Payments for Accounting department
- Provides coverage for reception and postal coordinator when necessary; breaks, lunches, holidays
- Drive to offsite locations on occasion
- Assist with other projects and duties as required
- Strong data entry ability and previous experience required
- Experience working with Raiser’s Edge preferred
- Experience with Microsoft Office suite of products, particularly Word and Excel
- Experience with Database, financial software, and strong computer aptitude required
- Experience with Microsoft Dynamics NAV preferred
- Customer service experience
- Organized, task oriented, and attention to detail
- Ability to work independently, adapt to change, multi-task and meet timelines
- Must be a team player
- Must have reliable transportation and a valid driver’s license
